| The order referral service enables you to enter the details of a new HIP or EPC order and instruct HIP Manager to collect payment on your behalf. The service is great for DEAs, estate agents and property professionals who wish to provide a quick and cost effective card processing and order collection facility.
Here's how it works...
Entering the property details
First you enter the address details relating to the property for which the order will be placed.
Customise your order
You can now add or remove certain components from the order. If you are a home inspector for example you may wish to remove the EPC component. The price below reflects the amount that we would normally charge to deliver this service.
Enter your client's details
Now you will need to tell us who we should contact to arrange payment, at what time we should call and how much you would like us to charge the customer. You can enter a fixed markup as your commission or alternatively you can edit the client retail price and the markup will automatically adjust.
Order Confirmation
You can now confirm the address details, the client's contact details and the amount to be charged. Once you confirm the order the referral will be passed to our administration department for processing.
Referral Tracking
All referrals lodged on the system can be tracked on the main referral control panel. Each case can be viewed individually with full access to our administrator notes.
Processing your referral
When your referral comes through to us, we will first check the contact instructions to verify when we should be calling your client. At this stage the referral status will be PENDING and any notes we make will be visible on your side. When we contact the client we will introduce ourselves as acting on the behalf of XYZ Company (Your company name). We will then proceed to collect payment from the client.
Finalising your referral
Once the client has completed payment for the order, the referral status will automatically update to COMPLETE. The commission will then be parked on our system ready for despatch on the following Friday. All payments are made weekly via bank transfer. The relevant VAT will be added onto the commission for VAT registered agents.
How do I Register?
The Agent Referral Programme is available to all HIP Manager account holders. Once you are logged into your HIP Manager control panel simply click the option 'Order Referral Service' in the left hand menu.
